Introduction and scope
This Privacy Policy applies to Property Log websites, web applications, mobile applications, property records, communications features, and related products and services (collectively, the “Services”). Property Log is operated by Core Client LLC, doing business as Property Log (“Property Log,” “we,” “us,” or “our”).
By using the Services, you acknowledge the practices described in this policy. This policy should be read together with our Terms and Conditions.
Information we collect
We collect information that you provide, information created through your use of the Services, and limited information received from authorized participants, service providers, and integrations. Depending on how you use Property Log, this may include:
- Account and profile information: name, email address, mobile number, account role, organization, brokerage, professional details, authentication records, and account preferences.
- Participant information: information about realtors, buyers, sellers, homeowners, invited users, vendors, and other people participating in an authorized property workflow.
- Property information: property addresses, ownership or access relationships, property histories, systems, components, maintenance records, repair information, warranties, and transaction-related records.
- Documents and media: inspection reports, disclosures, warranties, maintenance documents, invoices, photos, scans, videos, and other files uploaded to or generated through the Services.
- Communications information: support requests, message content, communication preferences, delivery status, conversation history, mobile phone numbers, SMS opt-in data, and messaging consent records.
- Device and usage information: browser and application type, operating system, IP address, device identifiers, diagnostics, log data, feature interactions, and information used to maintain security and reliability.
- Transaction information: plan, package, credit, subscription, purchase, billing status, and related records. Payment processors may collect and process full payment-card details on our behalf; Property Log may receive limited payment status and transaction identifiers.
Information may come directly from you, from another authorized user who invites you or provides property information, from a real estate professional or service provider involved in a property workflow, or from an integration you authorize.
How we use information
We use information to operate, secure, support, and improve Property Log. These uses include:
- Creating accounts, authenticating users, and managing authorized access.
- Creating, maintaining, organizing, and presenting property histories and records.
- Processing inspection reports, uploaded documents, photos, and other property information.
- Providing realtor, buyer, seller, homeowner, invitation, handoff, and property-management workflows.
- Sending account, security, property, document, inspection, appointment, task, transaction, service, and support communications requested by or appropriate for the user.
- Providing customer support, diagnosing technical issues, preventing fraud and abuse, and protecting users and the Services.
- Measuring and improving performance, usability, and features.
- Complying with legal obligations and enforcing our agreements and policies.
- Sending promotional information only when legally permitted and supported by the consent or other lawful basis required for that communication.
AI-assisted processing
Property Log may use automated and artificial-intelligence-assisted systems to extract, classify, summarize, organize, compare, and answer questions about property information and documents supplied to the Services.
AI output may be incomplete or inaccurate. Review the original source documents and confirm important information independently. Property Log does not replace inspectors, engineers, contractors, attorneys, insurers, real estate professionals, or other qualified professionals.
We use reasonable controls intended to limit processing to authorized property and account contexts. The availability and behavior of AI-assisted features may change as the Services evolve.
How we disclose information
We may disclose information only as reasonably necessary for the Services and the purposes described in this policy, including to:
- Service providers that host, store, process, secure, analyze, support, or deliver the Services on our behalf, subject to appropriate contractual or operational restrictions.
- Authorized participants in a property workflow, such as a realtor, buyer, seller, homeowner, or invited user, according to the permissions and sharing actions available in Property Log.
- Business or legal successors in connection with a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, subject to applicable legal requirements.
- Government, regulatory, or legal authorities when required by law, legal process, or a valid governmental request.
- Appropriate parties for safety and protection when reasonably necessary to protect rights, property, safety, security, prevent abuse, investigate fraud, or enforce our agreements.
We may also disclose information at your direction or with your authorization.
SMS and Mobile Messaging Privacy
Property Log uses mobile phone numbers and messaging consent records to provide the text-message services a user has requested or separately agreed to receive. Depending on the user’s relationship with Property Log and selected preferences, messages may include account or security notices, property activity, inspection or document updates, appointment or task reminders, customer-support communications, transaction or service updates, and occasional information about relevant Property Log products or services.
We do not sell, rent, share, or otherwise provide mobile phone numbers, SMS opt-in data, or messaging consent records to third parties or affiliates for their marketing or promotional purposes. We may provide this information to service providers that process messaging on our behalf solely to operate, secure, and support the Property Log messaging program, or when disclosure is required by law.
Message frequency varies. Message and data rates may apply. Recipients may reply STOP to opt out of text messages and HELP for assistance. Opting out of text messages does not prevent a user from using Property Log through other available channels.
Consent to receive marketing text messages is not a condition of purchase. Transactional or service communications and optional marketing communications may be governed by different consent choices.
Data retention
We retain information for as long as reasonably necessary to provide the Services, preserve authorized property-history continuity, maintain security and auditability, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods vary based on the type of information, the user’s relationship to a property record, operational needs, and legal requirements. When appropriate, information may be deleted, anonymized, or de-identified.
Security
We use reasonable administrative, technical, and organizational safeguards intended to protect information against unauthorized access, loss, misuse, alteration, or disclosure. No system, transmission method, or storage technology can be guaranteed to be completely secure. Users are responsible for safeguarding credentials and promptly reporting suspected unauthorized access.
Your choices and privacy rights
You may update certain account details and communication preferences through available account settings or by contacting us. You may opt out of SMS messages by replying STOP and may request help by replying HELP.
Depending on where you live, you may have rights to request access, correction, deletion, portability, or information about certain processing or disclosures. We may verify your identity and authority before acting on a request, and applicable law may permit or require us to retain or decline to disclose certain information.

Children's privacy
The Services are not directed to children under 13, and Property Log does not knowingly collect personal information directly from children under 13 without legally valid authorization. Contact us if you believe a child has provided personal information inappropriately.
Third-party services and links
The Services may connect to or contain links to third-party websites, applications, telecommunications carriers, payment processors, cloud platforms, AI providers, and other services. Their terms and privacy practices apply to their independent activities, and Property Log is not responsible for those independent practices.
Changes to this policy
We may update this Privacy Policy as the Services, legal requirements, or our practices change. We will publish the revised policy and update the effective date. When required, we will provide additional notice or obtain consent for material changes.
